In-person decision checklist

Community organizers all over the world can now organize in-person WordPress events, following local laws and safety measures. Check out our latest guidelines for in-person events!

In 2022, the Community Team published revised guidelines for In-person events, that simplify the process of organizing an event for community organizers. We only mandate the use of this in-person decision checklist in certain situations.

Please note that you can only organize an in-person WordPress event (a WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. or a MeetupMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook.) if your local health authorities permit in-person gatherings.

When not to use this checklist

In 2022, we have simplified our guidelines for in-person events. If your region allows in-person events, you do not need to fill out this checklist to organize a WordPress event if: 

  • You are planning to organize an In-person WordPress Meetup for less than 50 people (the community team strongly recommends that only fully vaccinated or recently tested negative participants are allowed to attend the event).
  • You are organizing a WordCamp or a large WordPress Meetup (for more than 50 people), and you are in a location where local laws or guidelines require or permit venues to limit admission based on a person’s vaccination status and masking.
    • In this case, your event venue should be able to check for vaccination status at the door and remind attendees to wear a mask

If you meet these guidelines, you can go ahead and organize an in-person WordCamp or an in-person WordPress event directly without any additional approval from WordCamp CentralWordCamp Central Website for all WordCamp activities globally. https://central.wordcamp.org includes a list of upcoming and past camp with links to each.!

When to use this checklist

If your region allows in-person events, you must fill out this checklist if: 

  • You are organizing a WordCamp or a WordPress  Meetup (for more than 50 people) AND
  • If your area or venue legally cannot check the vaccination status of attendees.

In this case,  please fill out the checklist at the time of the application, and again at the time of the event. You must pass the checklist both times if you wish to move forward with your event. Please note that your WordCamp venue must be willing to provide staff who will remind participants to wear masks and check for temperature during the event in this situation. To use this checklist, you will need data from health authorities (the community has compiled a handy list here!) and knowledge of local laws or regulations.
