Announcement: Updated COVID-19 guidelines for official WordPress events

Mandates related to COVID-19 are continuing to update around the world, and the Community Team’s COVID-19 requirements are updating with them. These new guidelines apply to all official WordPress events, meaning WordCamps, WordPress meetupsMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook. in the chapter program, do_actiondo_action do_action hackathons are community-organised events that are focussed on using WordPress to give deserving charitable organisations their own online presence. Learn more on doaction.org. events, and Open SourceOpen Source Open Source denotes software for which the original source code is made freely available and may be redistributed and modified. Open Source **must be** delivered via a licensing model, see GPL. 101 workshops. 

For organizers

  • Follow all local regulations. These continue to change, so please ensure you have the latest information, especially as you get closer to the event. Further, if your local hospitals are overwhelmed, please cancel, postpone, or move the event online.
  • Provide masks and hand sanitizer around the venue space (WPCSWordPress Coding Standards A collection of PHP_CodeSniffer rules (sniffs) to validate code developed for WordPress. It ensures code quality and adherence to coding conventions, especially the official standards for WordPress Core. will cover this cost if it is not provided by your venue).
  • As part of swag packs, WPCS will provide a sticker to indicate to others to please wear a mask when talking with you.

If legally permissible in the area, organizers can certainly opt to have more security measures for their event, like mandatory masks and checks for proof of vaccine or negative tests at the door. Of course, organizing events online will continue to be an option.

For attendees

These are strong recommendations for attendees. Organizers can help by confirming that these recommendations comply with local rules and regulations.

  • We still recommend that you wear a mask while at in-person WordPress events.
  • If you see that someone is wearing a sticker requesting people wear a mask near them, please wear a mask while within 6 feet (2 meters) of them or keep your distance.
  • A request that you only attend in-person if you are vaccinated or have recently tested negative.
  • Please stay at home if you are sick or have recently come in contact with someone who is ill.

In the coming days, the Community team will update handbook pages with these changes. After years of evolving guidance around COVID-19, my deep hope is that these guidelines will have some lasting power and help in-person WordPress community events come back safely and comfortably. 

A note on upcoming flagship events

As flagship events are larger and draw an international crowd, both WordCamp Europe and WordCamp US organizers were asked to view these as minimum requirements and are expected to have a more comprehensive plan in place.

WordCamp Europe will be following the guidelines of the Portuguese authorities and masks will be required indoors. The attendee registration will be spread out (at the venue of the speakers dinner and at the venue itself) and they will make use of registration booths (self service). Hand sanitisers will be available and some activities, such as WP Cafe, will be outdoors.

WordCamp US will be following the guidelines of the San Diego authorities. Along with those guidelines, we will require all attendees to be vaccinated or have recently tested negative. Additionally, due to the size and nature of this event, masks will be required to be worn over both the mouth and nose while indoors. Hand sanitizer and masks will also be available and some activities, such as lunch, will be outdoors.

Join the Community Team for a #WPDiversity Writing Sprint: May 23 to May 30

Tl;dr: The Community Team is launching a one-week writing sprint from Monday, May 23 through Monday, May 30, 2022. You are invited to contribute, or even just watch. Every contribution, however small, is valuable!

Writing sprints put these values into action. This post describes the upcoming writing sprint and how you can contribute.

What is a writing sprint?

In a writing sprint, community contributors work together, in the open and across time zones, to develop new materials or refine existing materials. The purpose of this upcoming sprint is to create materials that will support WordPress event organizers in creating diverse and inclusive events. The materials created during this sprint will be shared with new and existing meetupMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook., WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. During the sprint, we will create the following materials:

  1. Self-paced lessons on creating welcoming and inclusive WordPress events, designed for a global audience. These lessons will be made available on learn.wordpress.org as part of the WordCamp Organizer Training and Meetup Organizer Training courses.
  2. Email templates to send to new and existing WordPress event organizers
  3. Additions to orientation scripts for WordPress event organizers

What skills would be useful? Any of the following:

  • Passion for creating inclusive, diverse spaces
  • Comfort writing and/or editing text for clarity, brevity, tone, and language accessibilityAccessibility Accessibility (commonly shortened to a11y) refers to the design of products, devices, services, or environments for people with disabilities. The concept of accessible design ensures both “direct access” (i.e. unassisted) and “indirect access” meaning compatibility with a person’s assistive technology (for example, computer screen readers).   • Familiarity with crafting educational materials
  • A global perspective: recognition that diverse and inclusive spaces look different in different parts of the world

How do I participate in the writing sprint?

  • Save the date: May 23-30, with an optional kick-off in the #community-team channel on May 23 from 17:00 UTC-18:00 UTC.
  • Anyone can participate!
  • Document & Contributor Tracker: We will use this sheet as a base, and work in separate Google Docs for each document. Please log all your contributions in the tracker, along with any relevant notes.
  • Google Docs: email templates, orientation script, learning module
  • The team will also coordinate together in the #community-team channel. I will be available here throughout the week to answer questions and help coordinate contributors.

WPDiversity is Expanding to APAC!

Since 2017, the #WPDiversity team has been encouraging people from underrepresented and marginalized groups in WordPress to participate and speak at WordCamps and WP MeetupsMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook. in their local community and the ever-expanding global WP community.

The team has been growing and with the different time zones, not everyone who is interested is able to attend our bi-weekly #WPDiversity meetings. Other teams in the Make WordPress project hold additional meetings in time zones that are more friendly to those working in the Asia-Pacific (APAC) region to allow everyone’s voices to be heard.

Due to this, members of the #WPDiversity team are starting up a second meeting that will be more accessible to those in the APAC time zones.

The meeting will be held in parallel with the AMER/EMEA meetings on Thursday of the 2nd and 4th week of the month. The focus of the APAC meetings will be different, to start. Our aim will be to create a space to meet and talk about diversity and inclusion in WordPress, as well as make any announcements that are relevant to APAC from the AMER/EMEA meeting.

This is timely, as WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Asia 2023 is fast approaching.

This is for you if:

  1. You are based in Asia-Pacific
  2. You care about diversity and inclusion in WordPress, particularly in Asia-Pacific
