New meeting times

As per the decision made some weeks ago, this is the last Community Team bi-weekly meeting. After this meeting the Community Team will have three monthly meetings:

  • Community Team meeting, on the first Thursday of each month
  • Comunity Local Organiser meeting, on the second week of each month

Proposal: Updating Community Team meetings

Few weeks ago, @kcristiano, @angelasjin and I began discussing our Community Team meetings, and how they could improve to foster more discussions and connections.

The Current Challenge

In short, we believe that there are too many meetings taking place at the moment and the format of those meetings are not catering to the Community Team as well as they could. To give you a hint where the problem lies, here’s a list of current Community Team meetings (not including working groups):

  • Community Team meeting every first and third Thursdays of month. Repeated twice on the same day to cater different time zones. Takes place in #community-team SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/. channel. Meeting agenda consists mostly of going through published blog posts about current matters and important discussion.
  • Community Office HoursOffice Hours Defined times when the Global Community Team are in the #community-events Slack channel. If there is anything you would like to discuss – you do not need to inform them in advance.You are very welcome to drop into any of the Community Team Slack channels at any time. every Monday, Tuesday, Wednesday and Thursday. Find more about deputies in our Community Deputy Handbook. to talk about their work and related challenges face to face. This is a new thing that started in 2021.

The basic problem appears to be hat there are many meetings, but attendance and engagement is low. These meetings are mostly targeted for community deputies that are deeply involved with the team, and not for event organisers. That feels a bit skewed, as the Community team’s ultimate objective is to work to benefit the greater community.

The Proposal

To make Community Team meetings more interesting, helpful, easier to approach and attend, Angela, Kevin and I would like to propose updating our meetings! Instead of the meetings listed above, the Community Team would move to the following ones:

Community Team meeting

Once a month for anyone currently involved or who wants to get involved in the Community Team. Still repeated twice on the same day to cater time zones and taking place in #community-team Slack channel.

Shorter agenda, more open floor discussion and personal updates from community members. Highlighted blog posts at the end of the meeting instead of being in limelight and taking most of the time. We will encourage discussion in these meetings and link to the discussions on the agenda posts for those who cannot attend to review.

We are also hoping to record minutes for these meetings and post that to the P2P2 P2 or O2 is the term people use to refer to the Make WordPress blog. It can be found at https://make.wordpress.org/. as well. A volunteer is needed to take the minutes.  This role can rotate, one need to make a long term commitment (but we’d love it if you did).

Community Local Organiser meeting

Once a month for WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. and meetupMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook. organizers. Repeated twice on the same day to cater time zones. Taking place in #community-events Slack channel.

No formal agenda. The purpose would be to become a place where local community organisers can share how their community is doing, successes and challenges, and learn from each other. Ambition is to bring local community organisers closer to each other as well as the community team, strengthening the connections.

Place for deputies and mentors to share their knowledge with each other and to talk about challenges encountered in our weekly work.

The WCEUWCEU WordCamp Europe. The European flagship WordCamp event. takes place from Monday to Wednesday. From our team, Angela and Taco will be hosting a workshop “10 ice-breakers and energisers for online events” on Monday 17:00 CEST.

Youth Working Group- Slack Meetings Now Office Hours

Join the Community Team for a Documentation Editing Sprint on May 25!
This contribution sprint has concluded! Together contributors made 35 major edits to the docs, including making changes to existing docs, and creating new docs pages. Most changes were made to the Online Event documentation and the Community Deputy Handbook. Thank you all for your contributions. We will be organizing more such docs sprints in the future. Stay tuned!

Three, weekly hours have been selected to cover different schedules and timezones.

WordCamp Europe 2021 Community Team content
WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Europe Online 2021 is coming soon! The event takes place 7-9 June and all Make teams have the opportunity to host some content during the event if we’d like to. The community Team sent few workshop applications, and you are invited to help with (co)hosting those workshops!

New and ongoing discussions

Proposal: A documentation editing sprint for the Community team
Several pages in the Make/Community handbook are outdated and need to be updated. Hari proposes a documentation editing sprint for the Community team to get our documentation again up to date. Idea is to test this out by organizing an initial sprint exactly two weeks later on May 25th. If the initial sprint goes well, we can consider organizing multiple sprints throughout the rest of the year. Community members can work on editing the documentation pages at their own convenience throughout the course of the day.

Proposal: adding vaccination status to the in-person meetup safety checklist
The Community team proposes to apply the COVID vaccination related guidelines to the in-person event safety checklist for WordPress chapter meetupsMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Learn more about Meetups in our Meetup Organizer Handbook.. In short, the proposal is about allowing organising events for fully-vaccinated people in some cases. Please leave your thoughts before May 27.

Youth Working Group works together to provide resources to event organizers of kids based events. They are always welcoming new contributors! Join the group in their next meeting on Tuesday, May 11, 2021, at 1400 UTC in #community-team channel.

Contributor Working Group
This group is working towards creating a comprehensive, centralized location for all Contributor information that will help encourage all Contributors and Contributor Event Planners. This group also welcomes all new contributors who want to help! Follow #wpcontributors tag in our blog to hear about upcoming meetings.

Diverse Speaker Training Working Group
This group supports meetupsMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). Throughout the pandemic, the team has maintained the safety and health of the community as the highest priority, and this has not changed. To that end, and knowing that this is a complex discussion, the Community team invites you to share your thoughts on how the WordPress community can safely move back to in-person WordCamps.

They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. organizing team raised a question to Community DeputiesDeputy Community Deputies are a team of people all over the world who review WordCamp and Meetup applications, interview lead organizers, and generally keep things moving at WordCamp Central. Find more about deputies in our Community Deputy Handbook. about a potential sponsor’s product, a WordPress derivative, being promoted in competition with WordPress and putting WordPress in an unflattering light. This question naturally prompted some discussion around where our expectations could be clarified to address WordPress derivatives and how they are promoted by sponsors, speakers, and organizers.

Feedback time in this discussion has ended, but we can discuss it in brief if someone has something in mind.

WordCamp Europe plans
WordCamp Europe Online is coming in a month and the team has the opportunity to host some content during the event if we’d like to. Timi will put a more detailed post out there tomorrow, but here are the basics so everyone can start to think of possible ideas for the content.

We can host a workshop or two during the event days if we’d like to, to showcase or help related to our team. We can submit the workshop applications until Friday next week. Another opportunity we’ll have during the WCEUWCEU WordCamp Europe. The European flagship WordCamp event. days is to have a few zoom session, which can be more unformal. It’s been about four months since the Learn WordPress Working Group started meeting at its current frequency and schedule. Erica is looking for feedback about a possible change of meeting time. The Community Deputy Round Table is Coming in June

It is created specifically to be the financial and legal support for WordCamps, WordPress Meetup groups, and any additional “official” events organized within the WordPress Community Events program. It ensures code quality and adherence to coding conventions, especially the official standards for WordPress Core.) team goals for Q1&Q2 is to host an online deputy round table. Currently, a small team of experienced contributors is planning to organise this round table. Please fill the doodle poll to select the times tomorrow at the latest.

Frequency of these meetings
Currently, our Team Meetings are held on the first and third Thursdays of every month. In some months like April, this sequence does cause three weeks gap between the meetings. After today’s meeting, the next one would be in three weeks on 2021-05-06 instead of having two weeks gap like we usually have. Should we change the first and third Thursday rule sequence to every second week, in order to avoid the long gaps between? Comment your thoughts in this post 🙂

Proposal: Adding topic-based meetup groups as part of the Meetup chapter program

However as COVID-19 pandemic changed the world, changes were made to the events program to allow for online Meetups. Recently, the Community team received two applications to start a meetup group globally for a specific topic that is not tied to any city. Sam opened an discussion around topic if we should allow these kind of Meetups in our chapter program.

Announcement: Review of WordCamp sites without a tracker item – removal of some old WordCamp sites
Some WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. sites missing their counterpart in the WordCamp tracker. We are now going through this list and will remove WordCamps sites for events that didn’t take place. For WordCamps that did take place, the WordCamp tracker in Central will be backfilled with simple details.

With all the changes to the program this past year, it seems timely to check in with our mentors to see if they are still interested in mentoring WordCamps and where we can better support them.

Revisiting Learn WordPress Workshop Application Vetting Process
Some community members have been helping with the Learn WordPress workshop and discussion group facilitator application vetting process. Naoko proposes few changes to the process for making it smoother.

Timeline for the Global Sponsorship Program
We published the official Global Sponsorship program on March 23rd and it included a deadline for Q2 sponsorships just 3 days later (March 26th). Taco raised a point that they think this isn’t reasonable and we might have lost some sponsorships because of that.
