Squarespace permissions explained

If you have multiple contributors, you can use permissions to limit access to areas that are relevant to each contributor's work. This guide explains what each contributor role can and can't do so you can decide which permissions to give to your team.

Tips

  • You can give a contributor multiple roles, or make them an Administrator to give them the permissions of all other roles.
  • To publish blog posts by different authors without giving them contributor permissions, add them as basic authors instead.
  • Domains linked to parking pages can only have an Owner and Administrators. Other permission levels aren't available on parking pages.
  • Contributors can remove themselves at any time.

The Permissions panel

Opening the Permissions panel varies depending on your Squarespace subscription:

  • Squarespace website or online store - In the Home Menu, click Settings, then click Permissions
  • Squarespace Domain on a parking page - In the Home Menu, click Permissions
  • Squarespace Scheduling with no website - In the side panel, click the hamburger icon, then click Permissions

Alternatively, when logged into your site, domain, or Scheduling subscription, you can press /, then type permissions to open the panel with the search shortcut.

In the Permissions panel, the Owner and Administrators can:

Available permissions

The type of permissions available depend on your subscription. All Squarespace subscriptions include these permissions:

  • Owner - There’s only one Owner, typically the account that created the site or other subscription. Owners can manage all content and settings. They can also transfer the permission to a different account, which might happen if a designer creates a site for a client, or if someone new within an organization starts managing web content.
  • Administrator - Administrators can do almost everything the Owner can do, except change the ownership. This is a good permission level for collaborators who need full access.
  • Billing - Accounts with Billing permissions can change or cancel subscriptions and view invoices. They can’t add or edit content. This is a good permission level for someone who manages your finances.

These permissions are for Squarespace websites and online stores:

  • Content Editor - Content Editors can add products, blocks, and other content to existing pages. They can’t add new pages or make style changes. This is a good permission level for someone who updates your site regularly, but doesn’t make broad design decisions.
  • Analytics - Accounts with Analytics permissions can access website and Commerce Analytics panels.
  • Comment Moderators - Comment Moderators can comment on blog posts without moderation and edit comments in the Comments panel. They also receive email notifications for new comments.
  • Trusted Commenter - Trusted Commenters can comment on blog posts without moderation and reply to comments, but don't have any editing access on your site or receive email notifications.
  • Store Manager - Store Managers can add products, reorder products, and manage orders. They can also add some content like blog posts and events. This is a good permission level for someone who manages your online store and marketing efforts.

These permissions are for standalone Scheduling subscriptions, or for sites with Scheduling trials or subscriptions:

  • Scheduling Editor - Scheduling Editors can view and manage all content in the Scheduling panel. For more information, see Scheduling Editor.

Settings access

These permissions are for features and settings found in your Settings panel.

The Owner can:

  • Buy or connect domains
  • Change business information
  • Change Site Availability
  • Change site language
  • Change site ownership
  • Connect Squarespace extensions
  • Connect third-party accounts
  • Delete the site
  • Edit comments settings
  • Enable Developer Mode (version 7.0 only)
  • Import/export
  • Manage Google Workspace billing
  • Manage notifications settings
  • Manage permissions
  • View owner email address
  • View password-protected site content

Settings permissions for Administrators are almost identical to the Owner, except for security purposes they can't change site ownership or view the Owner's email. Administrators can:

  • Buy or connect domains
  • Change business information
  • Change Site Availability
  • Change site language
  • Connect Squarespace extensions
  • Connect third-party accounts
  • Delete the site
  • Edit comments settings
  • Enable Developer Mode (version 7.0 only)
  • Import/export
  • Manage Google Workspace billing
  • Manage notifications settings
  • Manage permissions
  • View password-protected site content

Content Editors only have settings permissions related to editing site content. They won't see many of the panels that the Owner and Administrators can when logged in. Content Editors can:

  • View password-protected site content

Users with Billing permissions only have settings permissions related to billing. They won't see many of the panels that the Owner and Administrators can when logged in. Users with Billing permissions can:

  • Delete the site

Store Managers only have settings permissions related to commerce features. They won't see many of the panels that the Owner and Administrators can when logged in. Store Managers can:

  • View password-protected site content

Billing access

These permissions are for viewing and taking action on settings related to your site's billing.

The Owner can:

  • Cancel subscription
  • Change billing plan
  • Upgrade trial to paid service
  • View and change billing information
  • View invoices

Administrators can:

  • Cancel subscription
  • Change billing plan
  • Upgrade trial to paid service
  • View and change billing information
  • View invoices

Content Editors don't have any billing permissions.

Users with Billing permissions can:

  • Cancel subscription
  • Change billing plan
  • Upgrade trial to paid service
  • View and change billing information
  • View invoices

Store Managers don't have any billing permissions.

Commerce access

These permissions are for using your online store's Commerce features.

The Owner can:

  • Add, edit, or remove products
  • Change shipping settings
  • Change store currency
  • Change tax settings
  • Connect a payment processor
  • Create, edit, and delete discounts
  • Edit checkout settings
  • Edit related products
  • Fulfill, cancel, and refund orders
  • Manage donations
  • Reorder products
  • Use Squarespace point of sale
  • View orders

Administrators can:

  • Add, edit, or remove products
  • Change shipping settings
  • Change store currency
  • Change tax settings
  • Connect a payment processor
  • Create, edit, and delete discounts

Store Managers have basic Commerce permissions for managing day-to-day needs of an online store. Store Managers can:

  • Add, edit, or remove products
  • Fulfill, cancel, and refund orders
  • Manage donations
  • Reorder products
  • View orders

Pages and content access

These permissions are for viewing, adding, and editing site content, like pages and blocks.

The Owner can:

  • Add and remove trusted commenters
  • Add and edit blog posts
  • Add and edit events
  • Add and edit gallery images
  • Add and edit portfolio sub-pages (version 7.1 only)
  • Add Code Blocks
  • Add Code Injection
  • Add pages
  • Comment without moderation
  • Connect third-party storage options to Form Blocks
  • Edit Cover Pages (version 7.0 only)

Design access

These permissions are for making changes in your site's Design and Site Styles panels.

The Owner can:

  • Change logo and title
  • Create a lock screen
  • Create an announcement bar
  • Make style changes
  • Switch templates (version 7.0 only)

Administrators can:

  • Change logo and title
  • Create a lock screen
  • Create an announcement bar
  • Make style changes
  • Switch templates (version 7.0 only)

Content Editors don't have any design permissions.

Users with Billing permissions don't have any design permissions.

Store Managers don't have any design permissions.

Analytics access

Only the Owner, Administrators, and Analytics contributors can view your site's Analytics panel.

Marketing access

These permissions are for features and settings found in your site's Marketing panel.

The Owner can:

  • Create, edit, and delete listings in Location Management
  • Create mailing lists
  • Create Sender Profiles
  • Draft and send email campaigns
  • Edit promotional pop-up settings
  • Edit share button settings (version 7.0 only)
  • Manage Email Campaigns billing
  • Manage SEO settings

Administrators can:

  • Create, edit, and delete listings in Location Management
  • Create mailing lists
  • Create Sender Profiles
  • Draft and send email campaigns
  • Edit promotional pop-up settings
  • Edit share button settings (version 7.0 only)
  • Manage Email Campaigns billing
  • Manage SEO settings

Content Editors can:

Store Managers don't have any marketing permissions.

Who receives email notifications

Contributors receive automated email notifications from Squarespace based on their permissions and what they typically need to see. To manage your subscriptions for these emails, visit the Notifications tab of your contributor profile.

Emails are sent to the address that displays in your profile. You can update your email address in the Account & Security tab of your contributor profile.

Note: Administrators and contributors with Billing permissions receive important emails related to your site's billing status. Since these contain essential information, it isn't possible to disable these notifications.

The Owner receives notifications for:

  • Billing
  • Comments
  • Commerce orders and donations
  • Domain verification
  • Member Areas

Administrators receive notifications for:

  • Billing
  • Comments
  • Commerce orders and donations
  • Member Areas

Content Editors don't receive any email notifications.

Contributors with Billing permissions receive billing notifications.

Store Managers receive notifications for orders, donations, and member areas.

Scheduling Editor

Scheduling Editors can view and manage all content in the Scheduling panel, including all appointment and client information. Scheduling Editors don't have access to Scheduling billing plans unless they also have Administrator or Billing permissions.
