For communities COVID-19 has been more effectively contained, returning to hosting an in-person meetupMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month). If you plan to move forward with an in-person meetup, you must use the provided checklist.

What Deputies do for this program

An overview of how Deputies work together to help WordCamps get past the finishing line.

  1. Application comes in via Help Scout – add it to the WordCamp Status Doc.
  2. Vet the lead organizer  and any other organizers listed on the application
  3. Interview and/or orientation with the organizer
  4. Send the organizers agreement to the lead organizer.
  5. Get the email forwarding location and give the details in private to any of the following people and ask them to set up the email forwarding.
    • Andrea
    • Cami
    • Josepha
    • Rocio
  6. Create the WC google drive folder and add in the following templates.
    • Budget Template ( 1 day or 2 days )
    • Sponsorship Invoice Template ( remember to swap out all the naming )
    • Ticket Invoice Template ( remember to swap out all the naming )
  7.  Get PollDaddy for them.
  8. List the WordCamp and set up the Website.
  9. Assign a Mentor.
  10. Review Budget. ( if no mentor )
  11. Send venue contract to [email protected] for the attention of : Andrea, Cami, or Josepha to sign and return.
  12. Check if they need an AV kit and if so, point them to the right person. ( For kits in US contact @roseapplemedia, in Europe contact @petya, in Canada contact @mikeyarce or send an email to [email protected] )
  13. Check if they have any posts they want to go live on WC Central. (if no mentor)
  14. Go live with their date (if this didn’t happen in step 8)
  15. Ship swag to the organisers
  16. Have fun at the WordCamp!
