Request for Feedback: Community Team Meeting times for 2021

It has been a long time since our Community Team Meetings times have been revised, and we’ve checked the suitability of those from our current team members. As the new year starts, it’s a good time to do the check and see if there’s a need to change the meeting times.

Community Team Meetings are held on the first and third Thursdays of every month. Each meeting happens twice in the same day to cater to different time zones. We plan to keep all this unchanged.

Currently, our meeting times are 11:00 UTC and 20:00 UTC. This is the part we are interested in and looking to change in case some other times prove to be more appropriate for most of the Community Team members.

To vote on the times, please fill this Doodle. Times are shown in your local timezone by default. Make sure to check that Doodle guessed your timezone right. If you want to change the timezone for times shown, use the timezone selector right above the table view.

Please note that the poll is used to vote on times for the rest of the year, regardless it having only one date.

You can vote for multiple times and for both, EMEA / Asia-Pacific and US friendly, meeting times. Team reps will choose the two times that have gotten most votes but do use consideration in order to ensure covering all timezones.

Next two team meetings, on 2021-01-21 and 2021-02-04, will still be held 11:00 UTC and 20:00 UTC. If meeting times are subject to change as a result of this vote, first meeting which will take place at the new time is 2020-02-18.

Please vote before 2021-02-05.

This post was written in collaboration of @sippis and @kcristiano.

Tuesday Trainings: A Call to Action!

This is not your typical Tuesday Trainings post, instead this is a Tuesday Trainings opportunity. I’m enamored of this series as a way to share more of our collective knowledge with one another. But at this point it’s feeling a little stale. This last year has been a challenge on any number of fronts, content creation being only one of them.

So I’d like to turn this week’s post upside down and instead of sharing knowledge with all of you fantastic deputies and community contributors I’d like to ask you to share some knowledge with me. And as an end result, share that knowledge here on Tuesday Trainings in the near future.

This time around I’m asking both for posts we can feature to help our Community Team contributors and also for volunteers to help me continue to create and curate content for this series.

In the comments please share if you:

  • Have an idea for a post you’d like to write for Tuesday Trainings
  • Have an idea that you would like someone else to write as a post for Tuesday Trainings
  • You want to help curate and recruit content for upcoming Tuesday Trainings.

That’s all for this week!

Learn WordPress is out!

Learn WordPress, a new, free, on-demand WordPress learning resource, launched officially on December 15. It offers workshops, lesson plans, quizzes, and courses for anyone interested in publishing with, building for, or contributing to WordPress. WordPress enthusiasts can also participate in discussion groups focused on specific topics to learn with and from each other. Want to help make Learn WordPress more successful? Here are four other ways to contribute to Learn WordPress!

How can meetup groups benefit from Learn WordPress?
Meetup organizers can ask participants to watch a Learn WordPress workshop and organize a discussion group based on it for their local meetup. Or you can simply schedule a watch party based on a workshop and arrange a quick discussion based on the same.

Watch the State of the Word 2020 recording

State of the Word 2020, the annual keynote address delivered by WordPress co-founder Matt Mullenweg, was streamed online for the first time on December 17. do_action charity hackathons and Open-source workshops in 2021

Seeing the impact of online do_action charity hackathons and open-source workshops, the community team wants to help more organizers host even more of these events in 2021. The team has published some ideas on how they can better support these events. If you have any thoughts, please share them in the comments of the post by January 25. If your local community wants to organize a do_action event, please submit an application.

Checklist for safe, in-person WordPress events

The Community team has shared a proposal on creating a checklist that organizers can use to ensure safe, in-person WordPress meetups later in 2021. While in-person meetups are still on hold right now, the team plans to decide about the same based on feedback from community members. Please share your thoughts in the comments section of the post.

Request for Feedback: Organizing do_action and Open Source Workshops in 2021

In 2020, WordPress events adapted to online formats, including do_action events and Open-source workshops. It took some time to figure out how to do so, but the community held 5 do_action hackathons and a handful of open-source workshops in 2020!  In moving charity hackathons and introduction to open-source workshops online, community organizers not only brought their WordPress community closer together, but they were also able to make a positive impact on their local or regional community in an exceptionally-difficult year.

Seeing this impact, the Community team would like to help more organizers host even more of these online charity hackathons (do_action events) and Introduction to Open SourceOpen Source Open Source denotes software for which the original source code is made freely available and may be redistributed and modified. Open Source **must be** delivered via a licensing model, see GPL. workshops in 2021. This post shares some ideas around how the Community team could support do_action and Introduction to Open Source organizers…

do_action events

Based on feedback from the community, do_action events so far have been quite impactful in how they bring participants together to help non-profits establish an online presence – something all the more significant in 2021. Here are some ideas on how the community can support do_action events:

  • Improve the online do_action event documentation: The documentation on online do_action events can be expanded to include tips on remote collaboration, using collaboration tools, remote project management etc.
  • Outreach for do_action events: This is something the Community team is equipped to do, with mentions in the Make blogs, MeetupMeetup All local/regional gatherings that are officially a part of the WordPress world but are not WordCamps are organized through https://www.meetup.com/. A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. newsletters, and news posts. The Marketing team could also be very helpful with this effort.
  • Mentorship: Deputies and WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. mentors could mentor do_action organizers.
  • Technology changes to the doaction.org website such as:
    • Adding doaction.org to Google Workspace / G Suite (so that organizers can use custom emails)
    • Modifying the do action event date section to accommodate multiple days.
    • Moving the do_action application to doaction.org

P.S. If you would like to organize a do_action event, please send in your application through this form.

Introduction to Open-source workshops

Introduction to Open Source workshops help spread knowledge and understanding of the open web and open source. They have also been instrumental in onboarding new contributors to WordPress. With the Learn WordPress workshops on Introduction to Open-source, meetup groups could host a watch party of the recorded workshop, or organize a discussion group. Here are some ideas for organizing Introduction to Open-source workshops in 2021:

Organizers can feature these workshops and discussion groups in the WordPress foundation blogs by reaching out to the community team. Since Open-source workshops are online, there is no cost involved in organizing them, but organizers can always request paid zoom accounts for their event

Proposed Goals

Because charity hackathons and Introduction to Open Source Workshops benefit WordPress communities and beyond, I’d like to propose some goals around hosting these events:

  • There were 4 do_action events in 2020. Let’s aim for at least 8 events in 2021!
  • Organize at least 12 discussion groups based on the Introduction to Open-source workshop in 2021, held in the Learn WordPress meetup group

Request for Feedback

I would love to hear suggestions and feedback community deputies and members!

  • Do you have any suggestions, changes, or additions to the proposed goals?
  • Can you share any ideas that you may have on improving do_action events and Introduction to WordPress workshops?
  • Do you have ideas for any new events that can be organized by the WordPress Foundation in 2021?
  • Would you be interested in helping to implement suggestions for supporting organizers of these events??

Please share your thoughts in the comments by January 25, 2021 (Monday).

Recap of the Diverse Speaker Training group (#WPDiversity) on January 13, 2020 & Input Requested

Attending: @jillbinder @angelasjin @cguntur @rahuldsarker @wpfangirl @tantienhime @oneal

Start: https://wordpress.slack.com/archives/C037W5S7X/p1610557183412500

We talked about the [Input Requested] Re-imagining the work of the Diverse Speaker Training group (#WPDiversity) post.

Pain points that I heard behind the suggestions on the post:

  1. We need to be training the event organizers on why this matters and how to be welcoming to diversity and diverse speakers
  2. Organizers don’t have the time to put into it or don’t feel confident to be running the workshop

Things we talked about today on these pain points:

  • People have even less time and energy in 2020 / start of 2021 to focus on learning how to run this workshop and find the time to actually run it. Most of us are volunteers, so our time and energy is very limited, so most of that goes into just running the meetupMeetup All local/regional gatherings that are officially a part of the WordPress world but are not WordCamps are organized through https://www.meetup.com/. A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. itself.
  • Also, it takes some extra effort to run the workshop because there are some extra questions we might have to answer compared to normal meetup presentations.
  • It takes more conscious effort to ensure that the presenters are a better representation of the diversity within and outside it, and the time/energy is a factor here too
  • In the US, it’s the members of the underrepresented groups that are most exhausted and most overwhelmed.
  • We need to reach the local organizers and get them on-boarded. The right communication and marketing can help.
  • The situation in the Indian subcontinent is tricky. They need to develop and train more speakers there. Both in English & in the regional language. They have lots of talented people but they are shy or not confident enough to apply or speak.
  • People are still feeling hopeful & positive about this work.

Strategies we talked about:

  • Now that the workshop is up on Learn WordPress, organizers could gather the group together and press Play.
    • The value of watching in a group rather than just watching on our own time is a) actually doing it!, and b) doing the exercises together. There is a huge value to doing them in a group rather than solo.
    • Maybe explain to people what is contained in the 4 parts, so they can choose which part to Play, individually or, if there’s time, doing multiple or all.
    • If people have more questions that the organizer can’t answer, they can come to a Discussion group, that is being run pretty regularly through the Community Team’s initiative
  • Making it easier to help organizers run the workshop live themselves:
    • Get our Train the Trainers going again. (With the better training materials that are now online, thank you Training team!, and with the new Training videos that just need a bit more work and then they’re ready)
    • An FAQ on commonly asked questions
    • An FAQ “Be a good ally” or “Handling Tricky Situations in the workshop”
    • Having ways for organizers to take the workshop themselves so that they understand better what they are teaching… Either through watching the video on Learn WordPress or live workshops.
    • Now that people can travel anywhere, maybe having meetup organizers from different places co-facilitate. Like, for example, Toronto and Vancouver co-facilitate each others’ workshops.
  • Try to gather every group that we know of who are running events this year, and have us run a workshop for everyone…. removing all work for organizers (other than inviting their local communities).
  • Put the “Creating a Welcoming and Diverse Space” on Learn WordPress, and start up Discussion groups about it
  • Encourage people to read our diversity material in the handbook

Another issue outside of the scope of this group that was raised:

  • Have better structures for meetup organizers to talk to each other, in general (not specifically about this work). More structure than just the community office hours and the meetup organizer newsletter. Maybe something like a quarterly or even annual meeting for organizers to talk about stuff and check in. Could be a brainstorming + social event for WP meetup organizers
